Job Description

The assistant will be responsible for supporting the procurement and business management processes, with a focus on maintaining accurate records, meeting deadlines, and assisting in the efficient flow of work related to procurement and business operations.

Responsibilities:

  • Add new business opportunities into the system as they arise.
  • Track deadlines associated with opportunities, ensuring timely follow-up on pricing and procurement requirements.
  • Prepare reminders for necessary quotations and assist in the organization and follow-up of quotes that need to be provided.
  • Coordinate closely with the finance team to monitor payments for orders, ensuring payment schedules are met.
  • Track and manage Purchase Orders (POs) with relevant team members.
  • Follow up on Good Received Notes (GRNs) with team members.
  • Track shipments, including obtaining tracking numbers, estimated time of arrival (ETAs), and ensuring the system is updated with the latest shipping details.
  • Ensure that delivery notes and invoices are completed accurately and follow up on any outstanding tasks to maintain up-to-date records.
  • Act as a reminder for open tasks and deadlines, supporting the procurement manager in prioritizing and managing ongoing activities.
  • Working hours and days: Sunday to Thursday from 8:30 AM to 5:15 PM.

Requirements:

  • Proficient in English (both written and verbal), with strong email communication skills.
  • Minimum knowledge of international business practices, especially around shipments,
  • business terms, and general logistics.
  • Strong attention to detail, with a precise approach to data entry, tracking, and record-
  • keeping.
  • High search and research ability to find and verify information quickly and accurately.
  • Capable of adapting swiftly to new requests and changes in priorities, demonstrating a
  • short learning curve for new tasks.
  • Proactive in managing and reminding about open tasks.
  • Organized and able to work under minimal supervision, maintaining consistent follow-up
  • with different teams.
  • Reliable and able to handle a diverse workload precisely and accurately.
