Job Description

The incumbent will be responsible for managing sales and warehouse-related data/reports of the JTI office and assisting supervisors in terms of communication of trade marketing and sales activities, monitoring project execution or result delivery maintaining related databases and preparing appropriate reports.

Areas of Responsibility:

Reports and Documentation:

  • Ensure proper data collection, entry, and database maintenance related to sales and marketing activities.
  • Prepare related reports and standard documentation. This would be achieved through:
  1. Customer data entry and updating including basic info, zone assignment, DU info, sales data, classification, and feedback report.
  2. Prepare sales reports including distribution reports, sales trends (Retail & WS)
  3. Implement Panorama-related tasks like tablet synchronization, reporting system errors, communicating tools problems, and following up for solving issues.
  4. Enter display unit data, update DU info, and prepare related reports.
  5. Prepare ad hoc project reports including brand launches, and coverage studies.
  6. Implement documentation of sales and marketing-related documents such as GAI receipts, customer forms, display unit forms, contracts, etc. based on standards.

Warehouse and Trade Marketing Related Tasks:

  • Ensure the right level of warehouse process implementation including:
  • Receive, transfer, and maintain stock with defined documents.
  • Document all warehouse transactions based on standards.
  • Prepare warehouse reports on a weekly and monthly basis including stock take, inventory report, aging report, etc. report, and follow up on warehouse discrepancies.
  • Prepare ad hoc reports based on logistics and warehouse department requirements.
  • Ensure all warehousing stock principles are fully applied.
  • Follow up warehouse transactions versus consumption and report discrepancies.
  • Receive all consumption receipts and check receipt validity (signature, date,).
  • Prepare consumption reports as instructed promptly.

The scope of these responsibilities depends on the employee work city.

Other Admin Tasks:

  • Prepare fleet, EHS, and admin reports align with his/her line manager.
  • Support team with travel arrangements if needed.
  • Petty cash: this includes cash requests, petty cash reports, and invoice tracking to ensure that all supporting documents are correct and are based on finance-defined standards.
  • Coordination:
  • Carry out administrative tasks such as maintaining and archiving documents, both in hard and soft copies, entering data, and processing information with the alignment of the regional manager and other relevant stakeholders.
  • Collaborate with the team and other departments to ensure that the sales and marketing activities are integrated and aligned with standards.

Requirements:

  • At least a high school diploma or a university degree can be an advantage.
  • At least 2 years of experience in a sales or administrative role related to sales.
  • Full command of English both written and spoken.
  • Proficient in Word, Excel, and PowerPoint.
  • Organized/high level of administration ability for managing paperwork effectively.
  • Ability to perform under stressful situations.
  • Strong communication and teamwork skills.
