Job Description

We’re looking for an administrative assistant to join us. Joining our team you will be responsible for providing general and administrative duties as well as answering the phones and greeting customers and visitors to our department. You’ll be assisting with organizing meetings and diary management, updating our databases.

Main Duties:

  • First point of contact dealing with telephone and email esquires as required.
  • Effectively support the maintenance of accurate electronic database records for stock loading, unloading, and control.
  • Composition and typing of letters, general typing and producing reports, scanning, photocopying, and filing as required.
  • Dealing with incoming and outgoing mail as required.
  • Receiving and sorting paperwork from the accounts section.

Requirements

You will need to have good and accurate literacy, numeracy, and administrative skills
and the ability to analyze information to solve general queries. You’ll also need good
keyboard skills.

  • Impeccable communication and interpersonal skills with a fabulous telephone manner.
  • Excellent organizational skills with proven ability to multi-task.
  • Excellent IT skills and good knowledge of MS Office.
  • Experience as an administrator, office assistant, another similar role, or demonstrable equivalent.
  • Familiarity with office management procedures.
  • Good written skills.
  • Good data entry and keyboard skills.
  • Ability to work as part of a small team and to also be able to work alone.
  • Self-motivated, able to use own initiative and organize own work.
  • A flexible approach to work tasks and be able to prioritize those tasks.
  • Prepared to learn new skills and suggest new ideas.
  • Friendly and a sense of humor.
