Job Description
Job Purpose:
The incumbent is responsible for identifying, mapping, and optimizing work processes in M&S, listed but not limited to logistics, field operations, distribution, key accounts, trade engagement, and merchandising. Establishing clear processes and written policies with controls in all of these areas and M&S Offices starting with basic cash management, conducting daily business, managing DUs, GAIs, TITP, sales cars, stock, shipments, DSO deliveries, invoices and pricing lists, etc. Organizing operational health checks in all M&S offices and warehouses and streamlining processes.
Areas of Responsibility:
- Identify and map processes based on M&S management priorities.
- Write appropriate policies, procedures, guidelines, manuals, and process flow proposals and get alignments and approvals from market ExCom.
- Ensure proper principles of the JTI code of conduct are implemented.
- Appropriate control mechanisms are to be incorporated and implemented regularly.
- Close collaboration with M&S management, field operations managers, P&C, Legal, Finance, GIP, and corporate affairs.
- Constantly thriving for efficiency, effectiveness, simplification, and digitalization of processes and controls via a good understanding of available systems in the market.
- Organize and/or hold regular training sessions with all parties in the field and HQ including warehouse workers, field representatives, and other parties involved in daily business conduct.
- Promote awareness of compliance needs, train control owners and backups, reinforce controls, detecting weaknesses for guidance needs.
- Deliver recurrent and qualitative, detailed reporting to local management, design optimized dashboards, ensure visibility of the actual control’s status, and ensure updated process flows and control owners list.
- Organize and manage a network of nominated persons/positions in every sub-department and field office.
- Regular health checks/audits organization and reporting findings to be resolved by process redesign.
Candidate Profile:
Education:
- A university degree or equivalent.
Work Experience and Competence:
- Two years of managing processes and systems experience preferably in an FMCG company/IT.
- Excellent knowledge of policy writing, maintaining, and simplifying.
- Excellent understanding of the dynamics of tobacco production.
- Great systems and processes analytical skills.
- Strong communication and persuasion skills.
- Able to communicate with different management levels.
- Excellent PC skills and complete knowledge of tablet operations, as well as PC-Tablet communications technology.
- Advanced Excel and PowerPoint and related statistical software skills.
- Able to work under pressure and independently
