Manage and analyze all incoming and outgoing communication and prepare summary briefs and reports.
Follow up management decisions with related parties and perform necessary coordination.
Assist in the preparation of presentations and minute taking.
Follow up actions of meetings and prepare regular progress reports for management.
Maintain corporate files, and prepare letters, reports, and correspondences professionally.
Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
Conduct research, compile data, and prepare papers for consideration and presentation.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
Schedule executive meetings including preparing agendas, MOM, and future follow-ups, arrange meetings and appointments with customers and suppliers, and prepare agendas for Management & executive meetings.
Perform travel arrangements (visa/hotel/ticket/etc) and manage the schedule.
Requirements:
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
A university degree, preferably a Bachelor's degree in Management, or other related fields.
German proficiency (writing, listening, speaking, and reading) and English fluency.
Excellent in MS Office (Word, Excel, etc.).
At least 2 years of related on-the-job experience.
Very precise, responsible, and a good team player.
Effective communication and public relations skills.
Ability to coordinate multiple activities.
