We are currently seeking a dedicated and efficient personal assistant to support our executive team. The ideal candidate will possess strong organizational skills, excellent communication abilities, and the ability to manage tasks with a high level of confidentiality.
Responsibilities:
Calendar Management:
Organize and manage the executive's calendar, scheduling appointments, meetings, and events.
Communication:
Act as a liaison between the executive and internal/external contacts.
Handle incoming calls, emails, and correspondence with professionalism.
Travel Coordination:
Arrange travel plans, including flights, accommodations, and itineraries.
Ensure all travel logistics are efficiently organized.
Task Prioritization:
Prioritize and manage tasks to ensure deadlines are met.
Anticipate needs and proactively address issues to optimize the executive's time.
Documentation and Record Keeping:
Prepare and maintain documents, reports, and presentations.
Maintain accurate and organized records.
Confidentiality:
Handle sensitive information with the utmost confidentiality and discretion.
Safeguard the executive's privacy and maintain trust.
Meeting Coordination:
Coordinate and prepare materials for meetings.
Attend meetings, take notes, and provide follow-up summaries as needed.
Requirements
Bachelor’s degree in Business Administration, Communications, or a related field.
Proven experience as a CEO assistant or in a similar administrative role.
Excellent organizational and multitasking skills.
Strong written and verbal communication abilities.
Proficiency in office software (e.g., Microsoft Office Suite).
Ability to work independently and handle tasks with minimal supervision.
