Job Description
Responsibilities:
- Providing a complete range of team-supporting, confidential, and administrative services to the legal department.
- Independently handling administrative work and subsequent issues, keeping the unit’s records, letters, and documents.
- Tasks such as information gathering, project work, and reporting may be assigned from time to time.
- Administrative tasks such as preparing letters, translating documents, archiving, following up the correspondences, arranging meetings, etc.
- Managing and coordinating the legal department’s processes in line with defined objectives and policies.
- Coordinating cross-functional issues with Finance, HR, Marketing, etc.
- Establishing and maintaining value-adding relationships with external contacts, peers, cross-functional colleagues, and suppliers.
- Finding innovative ways of optimizing administrative tasks.
- Engaging with the notary public for POAs and commitment letters.
- Monitoring and supervising the legal department’s safes and storage room.
- Checking and archiving contracts.
- Coordinating tasks with the sales team for SAs.
- Monitoring and supervising the company’s correspondence indicator.
- Regularly checking the labor portal and subsequently communicating updates with the head of the function to receive instructions.
- Coordinating litigation cases and document gathering from the HR department.
- Managing and supervising internal communications within the company.
- Handling delivery and receiving cheques from stakeholders while coordinating with the finance and legal departments.
- Engaging with external organizations
- Supporting SMPP team members in obtaining new letter numbers.
- Raising POs and managing expense reports upon demand.
- Managing the function’s budgeting.
- Archiving the function’s physical and digital documents.
- Supporting other functions for the “received” stamp.
- Checking the company’s incoming faxes.
- Managing settlement cases.
- Keeping up-to-date records of the company’s licenses.
- Keeping up-to-date records of portal login credentials (usernames and passwords).
Requirements:
- Educational degree in Law-related fields is not necessary but is an advantage.
- Good command of English (especially in written form).
- Skilled in translation, from Persian into English and vice versa.
- Good command of Microsoft Word and Excel (Optional: PowerPoint).
- Well-developed communication and interpersonal skills.
- Good organizational skills for organizing physical documents, and digital documents, setting meetings, handling stakeholders, and so forth.
- Keen eyes for details.
- Owning a sense of discretion in work and interactions.
- Good administrative skills.
- General PC skills.
- Project management skills are an advantage.
- Good archiving skills.
- Team player.
- Good at multitasking.
- Assertiveness and confidence in dealing with all levels of the organization.
- Genuine desire to provide support and service to others.
