Job Description

  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserve the manager's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Compose and prepare letters relating to routine correspondence for the CEO’s signature.
  • Conduct research and prepare reports by collecting and analyzing information.
  • Prioritize emails and respond in English, when necessary, Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Determine priority of matters of attention for the office; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Provide historical reference by developing and utilizing filing and retrieval systems; attend meetings and write memos; prepare the initial draft of minutes and summaries.
  • Maintain the manager’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Secure information by completing database backups.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Provide secretarial and administrative support.

Requirements

  • Bachelor's or Master's degree in Industrial Engineering, Business Administration, or other related fields.
  • Excellence in English (writing, speaking, and reading) and business communication.
  • Good at email management and setting up a good filing system.
  • Proficient in communication and effectively managing PR.
  • Ability to pay attention to detail.
  • Very precise, responsible, creative, a good team player, and loyal to work.
  • Well-organized, self-motivated, talented, and computer-literate.
  • Ability to coordinate multiple activities behind tight schedules.
  • Creative and lateral thinking for problem-solving.
  • Ability to recognize the incoming and outgoing significance of documents and prioritize accordingly.
  • Proficient in Microsoft Office, Outlook, and Photoshop to produce correspondence and documents and maintain presentations, records, and reports.
  • Ability to work with social media.
  • Ability to keep up to date with the latest tech and software.
