Job Description

  • Manage all Incoming and outgoing (meetings, emails, letters, packages, etc.).
  • Manage all local and international business travels.
  • Coordinate meetings with the CEO and department heads.
  • Format, input, edit, retrieve, copy, and transmit text, data, and graphics.
  • Conserve the CEO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.
  • Maintain the CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Represent the CEO by attending meetings in his absence; and speaking for the executive.
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintain customer confidence and protect operations by keeping information confidential.
  • Complete projects by assigning work to clerical staff; and following up on results.
  • Prepare reports by collecting and analyzing information.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
  • Ensure the operation of equipment by completing preventive maintenance requirements; following the manufacturer’s instructions; calling for repairs; maintaining equipment.
  • Contribute to team effort by accomplishing related results as needed.

Requirements

  • At least a Bachelor's degree.
  • At least 3 years of relevant work experience.
  • Excellent knowledge of Microsoft Office (Word, and Excel).
  • Fluent in English, both written and verbal.
  • Strong communication and interpersonal skills.
  • Ability to handle multiple tasks and deadlines.
  • Remain calm under pressure.
  • Gender preference: Female.
  • Age range: 27 to 40 years old.
