Planning and Reporting Specialist

Job Description

•  Plan, supervise and coordinate all activities in the assigned area to meet functional objectives.
• Take part in general 90-day plan preparation, realization control, and reporting.
• Monitor and review project funding requirements, approval of budget requests, project cost revision sheet, authorization for expenditure, and contract variation request
• Take part in day to day activity planning and control.
• Monitor work order requisitions, material requisitions, tracking invoice payment certificates, contractor timesheets, and invoices.
• Review project data and progress on the dashboard tool.
• Day-to-day communication with concerned supervisors/superintendents and other Section employees on work-related matters.
• Regular contact with contracts, procurement, finance, and other functions to address functional needs.
• Regularly visit workplaces on-site for visual work performance control.
• Prepare regular reports on activity fulfillment status.
• Track 90-day planning KPIs and propose process improvement measures.
• Frequent communication with employees to address their needs related to the section.
• Design and implement new tools and techniques to improve the quality and efficiency of operational processes.
• Support the budget holders and/or contract holders and/or contract supervisors with actual information on annual budget status, savings, and overrun of budget.
• Provide input for the preparation of the functional budgets and assist in the implementation of the approved Budget and work plans to deliver section objectives.
• Investigate and highlight any significant variances to support effective performance and cost control.
• Develop realistic project cost and schedule forecasts based on the ground realities of the project.
• Liaise with finance to monitor periodic expenditures against the approved budget and take up any major deviations in expenditure with concerned stakeholders provide reports for reasons and causes and if needed develop a recovery plan.
• Perform one-time official assignments for his immediate supervisor.
• Perform duties similar in content.
