Job Description

 The incumbent is responsible for providing efficient support to the administration department to ensure the timely and proper execution of administration tasks.

Areas of Responsibility:

  • Supervise office clerks and maintenance of office buildings:
  • Supervise office clerks and maintenance at office buildings to ensure high customer satisfaction.
  • Implement 5S methodology in the different areas of office buildings to organize the workspace for more efficiency and effectiveness.

Employee and M&S Offices services:

  • To be responsible for all employee services such as office supplies, equipment, EHS tasks, distributing launch gifts, etc.
  • To ensure continued and high internal customer service efficiency.
  • Support M&S office renovation and relocation projects.

M&S Events and Meetings:

  • To support the M&S annual gatherings, events, and seminars, and also all meetings in line with company strategy and standards.

Support Admin Projects:

  • To support and assist on assigned projects (such as sport salon, relocation, evacuation, maintenance, EHS).

+Responsible for EHS Reports and Utilities:

  • To assemble the reports of EHS and utilities by compiling, consolidating formatting, and summarizing information, graphs, and presentations.

Issuing Purchase Requests:

  • To raise purchase order requests and receipts accordingly.

Requirements:

Education:

  • A university degree in Business Administration, or similar fields.

Work Experience and Competencies:

  • At least 2 years of experience in a similar job.

Languages and Computer Skills:

  • Written and spoken English fluency.
  • Proficient in MS Office (Word, Excel, PowerPoint).

Functional Skills:

  • Flexibility, adaptability, and being proactive.
  • Excellent communication skills and good interpersonal skills.
  • Ability to multitask and be detail-oriented.
  • Team player and be able to create trust with a wide range of coworkers.
  • Secretarial skills and being able to work under pressure, analyzing abilities time management, disciplined attitude, highly organized, being able to meet different challenges, stress management, admin skills, customer focus.
